Why Gmail replies take longer than they should
- Inbox triage is many small decisions. You might answer twenty emails in a sitting. Each needs a greeting, two or three sentences and a sign-off.
- Formal tone costs extra effort. A reply to a client or a recruiter needs full sentences and polite phrasing, which is slower to type than to say.
- Repeated details. You type your email address, phone number or booking link over and over.
- Replies in another language. If a customer or supplier writes in a different language, you draft, translate in another tab and paste back.
- Lost drafts. A browser tab closes, or you discard a reply by accident, and the text is gone.
How to use Whispek in Gmail in 3 steps
- Open the reply box. In Gmail, click Reply or Compose and put your cursor in the message body. For a new email, fill in the recipient and subject first, then click into the body.
- Press your voice shortcut and say the reply. Right Alt on Windows, Right Option on macOS, Left Ctrl + Left Alt + Space on Linux. Speak the greeting, the point and the sign-off in one go. With Live transcription display on, the original transcript appears above the capsule as you speak.
- Review and send. Whispek inserts the text into the body. Read it once, change a word if needed, then press Send in Gmail.
Tip: dictate the body only. Typing a recipient and a short subject is quick, and the body is where voice saves you the most effort.
Whispek features for Gmail — Style and Auto cleanup
In Style > Text, choose Formal for full capitalization and punctuation. In Style > Cleanup, Auto cleanup removes filler words and tidies wording. Review the draft before you send it.
Whispek features for Gmail — Snippets for your details
Create a trigger word that expands into your email address, a signature or another line you repeat. Say the trigger at the end of a reply instead of typing the details.
Whispek features for Gmail — Voice translation for replies in another language
Got an email in German? Press your Translation shortcut and reply in your own language; the German reply lands in the box. Pick from 303 target languages and variants.
Whispek features for Gmail — Live transcription display and History
With Live transcription display on, the original transcript appears above the capsule while you talk. History keeps the dictation on your computer, with the original transcript and saved result versions, so you can find a retained draft there.
Whispek features for Gmail — Transforms
Select a draft, open the Transforms window and choose Polish when a reply needs a smoother version. To add your own instructions, use New transform on the Transforms page in the main app.
Example: a reply to a supplier
You say: "Hi Daniel, um, thanks for the quote. Tuesday delivery works for us. Can you confirm the price includes shipping? Best, Alex."
With cleanup on, Whispek inserts the reply without the "um" and with tidied punctuation, ready for you to review. Add line breaks where you want them, check the price question reads the way you meant it, and press Send.
If you write email outside Gmail too, in Outlook or Apple Mail for example, read our guide to email drafting by voice. For quick internal replies, see dictation for Slack.
